This Privacy Policy explains how we collect, use, store, and disclose your personal information when you visit our website (www.platinumpt.co), purchase our programs, or use our online coaching services. We handle your information in accordance with the New Zealand Privacy Act 2020.
By using our website or services, you acknowledge that you have been informed about how we collect, use, store, and disclose your personal information as described in this Privacy Policy and in accordance with applicable New Zealand privacy laws.
1. Information We Collect
Depending on how you interact with us, we may collect:
Personal details — your name, email address, phone number, billing details, and date of birth or age.
Health and fitness information — information you provide about your health, medical history, injuries, current fitness level, goals, body measurements, and, where you choose to share them, progress photos. Health information is particularly sensitive, and we take appropriate steps to protect it (see clause 4).
Payment information — details needed to process your purchase. Payments are handled by secure third-party payment providers; we do not store your full card details ourselves.
App and service data — information you enter into our coaching app, such as logged workouts, check-ins, and messages with your coach.
Website and technical data — information collected automatically when you visit our website, such as your IP address, browser type, device information, and how you use the site, including through cookies (see clause 8).
2. How We Collect Your Information
We collect information directly from you when you fill in forms, sign up, purchase a program or coaching, complete health questionnaires, or communicate with us. We also collect information through our coaching app and through automated tools such as cookies and analytics on our website.

We use your information to:
Provide, personalise, and deliver your training programs and coaching.
Assess your health status and tailor programs safely to your needs.
Process payments and manage your subscription.
Communicate with you, respond to enquiries, and provide support.
Send you service updates and, where you have opted in, marketing about our services.

Meet our legal and regulatory obligations.
4. Health Information
We only collect health information that is relevant to delivering our services safely. When we collect health information, we will make clear why we are collecting it, who may receive it, and your rights to access and correct it.
We use health information for purposes connected with providing our services, including designing and delivering your coaching, communicating with you, managing your account, responding to a safety concern, handling a complaint, meeting our legal obligations, and establishing or defending a legal claim. We will not disclose your health information to third parties except as reasonably necessary for these purposes (for example, storing it within our coaching app) or where required or permitted by law.
5. Sharing and Disclosure
We do not sell your personal information. We may share it with trusted third parties only where necessary to run our business, including:
Our coaching app provider, which hosts your program and communications.
Payment processors, to handle your transactions securely.
Email and communication tools, to send you updates and respond to you.

We take reasonable steps to ensure that third-party providers only use and disclose your information as necessary to provide their services to us, comply with applicable law, or as otherwise permitted by their agreements with us and applicable privacy laws.
6. Third-Party Services & Overseas Storage
Some of our third-party providers may store or process data on servers located outside New Zealand (for example, in the United States). These providers currently include Everfit (our coaching app), Squarespace (our website host and provider of Squarespace Payments), and Google/Gmail (our email provider).
Squarespace Payments is Squarespace's integrated payment solution used to process payments through our website. We do not store your full payment card details ourselves.
Before sharing your information with an overseas provider, we take reasonable steps to ensure it will be handled in a manner consistent with New Zealand privacy law, including through comparable privacy safeguards, contractual protections, or other lawful mechanisms where applicable. By using our services, you acknowledge that your information may be stored or processed outside New Zealand.
7. Data Storage, Security & Retention
We take reasonable steps to protect your information from loss, misuse, unauthorised access, disclosure, or alteration. While we work to safeguard your data, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
We retain your information only for as long as necessary to provide our services, meet our legal obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we will securely delete or de-identify it where reasonably practicable.
8. Cookies & Website Analytics
Our website may use cookies and similar technologies to help it function, remember your preferences, and understand how visitors use the site. You can control or disable cookies through your browser settings, though some parts of the site may not work properly without them.
Our website is hosted on Squarespace, which provides built-in analytics that help us understand how visitors use our site. If we add any additional analytics or advertising tools (such as Google Analytics or a social media pixel) in the future, we will update this policy to reflect them.
9. Marketing & Your Choices
Where you have opted in, we may send you marketing communications about our services. You can opt out at any time by using the unsubscribe link in our emails or by contacting us. We will still send you essential service-related messages, such as payment or account notices.
10. Progress Photos & Testimonials
Any progress photos, testimonials, reviews, or other client content you provide to us will be used for coaching and progress-tracking purposes only, unless you separately give us permission to use that content for marketing, advertising, social media, or promotional purposes. We will not use your progress photos for promotional purposes without your specific permission.
